# AI and automation for law, accounting and consulting firms

> For law, accounting and consulting firms, AI pays off first in document-heavy work nobody bills well: searching past matters for precedent, preparing intake and conflict checks, drafting engagement letters and chasing client documents. The Method Crew builds these on your own Microsoft 365 or document management accounts, with a named person approving anything that leaves the firm. We recommend starting with a $3,000 to $5,000 readiness snapshot.

Your firm sells expert time, and too much of it goes to finding last year's clause, chasing clients for documents and retyping intake forms. We build the systems that give those hours back, inside the confidentiality rules you already work under.

## Where AI and automation pay off first

### Precedent and clause search across past matters

A knowledge assistant searches your document management system (iManage, NetDocuments or SharePoint) and answers with a link to the source file and the clause it quoted. It mirrors the matter permissions you already have, so a lawyer or accountant only sees results from matters they can open today.

### Client intake and conflict-check preparation

Web form and email inquiries are read, the parties and related entities are pulled out, and a conflict search is prepared in Clio or your practice management system for a person to run and clear. Nobody types the new client's details twice.

### Engagement letter drafting

Scope and fee basis flow from the intake record into your approved letter template, the draft goes to the responsible partner, and the signed copy comes back through DocuSign. The model only drafts the scope paragraph. Your standard terms stay locked.

### Client document chasing

For tax and accounts work, a request list goes out from Karbon or TaxDome, each upload is checked against the list, and reminders run on a schedule until the file is complete. Staff watch one status board in place of a folder of email threads.

### Statement and source document extraction

Bank statements, payroll reports and supplier invoices are read into structured data and checked against their totals before a preparer reviews them in Xero, QuickBooks Online or your tax software.

### Time entry clean-up before billing

Rough time notes are tidied into narratives that follow each client's billing guidelines, using the calendar and document activity behind them. The timekeeper approves every entry before it reaches the bill.

## What shapes the build

- **Confidentiality and privilege.** Client files stay in accounts your firm controls. We use business API accounts, review each provider's data retention terms with you before any document is sent, and carry your matter permissions into every search index. You decide which matters, if any, stay out entirely.
- **Professional conduct rules on generative AI.** Rules on AI use differ by jurisdiction and by profession, and several bars and accounting bodies have published guidance. Read what your own regulator or bar has issued, or ask your general counsel. We build to the controls you set and do not give legal or ethics advice.
- **A person signs off on anything that leaves the firm.** Letters, client emails and summaries drafted by a model go to a named reviewer before they are sent. The system logs what the model produced, what the reviewer changed and who approved it, and that record stays with the firm.
- **Billing for AI-assisted work.** How to bill for a task that AI has made shorter is a question for your partners and your regulator, and the answer varies by profession. We measure time per task before and after each build, so the policy rests on numbers from your own matters.

## Where should a firm start with AI?

Start inside the firm, with work your own staff can check. Precedent search and document chasing are good first projects because the people using the output are the people who would spot a mistake. Client-facing drafting comes later, once you have a review habit and an [acceptable use policy](https://methodcrew.com/insights/ai-acceptable-use-policy-template) everyone has read.

The first step we recommend is an [AI readiness audit](https://methodcrew.com/services/ai-readiness-audit). The snapshot version costs $3,000 to $5,000 and takes 1 to 2 weeks. We interview partners and support staff, look at how matters and client files are stored, and hand you a ranked list of opportunities with a build cost and the risks attached to each.

Be ready for some of that list to involve no AI at all. Chasing documents against a checklist, routing inquiries by practice area and sending reminders are rules. We build those as plain automation because it is cheaper to run and easier to audit. A model is the right tool where the input is unstructured text: past matters, contracts, statements and free-text emails.

If partners want the whole team using AI tools well before any build, a half-day [workshop](https://methodcrew.com/services/ai-workshops) for up to 25 people costs $3,000 to $6,000 and covers your policy, safe handling of client data and how to check a model's output against the source.

## What does a sample 90-day plan look like?

This is the shape of a first engagement for a firm of 20 to 150 people building a precedent search assistant. The dates move; the order does not.

| Weeks | Stage | What happens |
|---|---|---|
| 1 to 2 | Map | Interviews with 4 to 6 lawyers or accountants and support staff, a review of 50 past matters, a ranked opportunity list, and the confirmed scope and acceptance test for the build |
| 3 to 5 | Prove | A pilot over one practice group's documents, tested against 30 real questions your lawyers or accountants asked last quarter |
| 6 to 11 | Build | Permissions, logging, the review step and the full index, with a demo of working software every week |
| 12 to 13 | Run | Training for users, the runbook, and the first monthly report on usage, failed searches and model cost |

The plan stops at week 5 if the pilot misses the bar agreed in week 2. You keep the findings and the code either way.

After week 13, you can move to an [automation care plan](https://methodcrew.com/services/automation-care-plans) at $1,500 to $6,000 a month or take the system in-house with the runbook. The [contract review assistant](https://methodcrew.com/blueprints/contract-review-assistant) blueprint makes a sensible second project, because it reuses the same index and permission model. For accounting firms, the [invoice processing pipeline](https://methodcrew.com/blueprints/invoice-processing-pipeline) shows the same extract, check and review pattern applied to supplier documents.

## How is client confidentiality kept intact?

Confidentiality is designed in from the first week, as 5 controls you can inspect.

- The search index reads the access rules from iManage, NetDocuments or SharePoint, so the assistant cannot show a document the user could not open themselves.
- Every answer links to the file and passage it used. This is what [retrieval-augmented generation](https://methodcrew.com/glossary/retrieval-augmented-generation) means in practice, and it lets a lawyer check the source in seconds instead of trusting a summary.
- Anything bound for a client passes a named reviewer. Our note on [human in the loop](https://methodcrew.com/glossary/human-in-the-loop) explains how the approval rules are set.
- Data retention and training terms for each model provider are reviewed with your IT lead before any client file is sent, and the decision is recorded.
- The assistant can read but cannot send email, move files or change records. A document planted with hidden instructions (a risk called [prompt injection](https://methodcrew.com/glossary/prompt-injection)) has nothing to act on.

On professional conduct, US lawyers often start with the [ABA's Formal Opinion 512](https://www.americanbar.org/news/abanews/aba-news-archives/2024/07/aba-issues-guidance-lawyers-use-ai-tools/) from July 2024, then check their state bar. Accountants and consultants have their own bodies. We do not interpret that guidance for you. We build the controls your general counsel or ethics partner asks for, and document them so they can be reviewed.

## Questions about AI in professional services

### Will our client files be used to train AI models?

Not through anything we build. We use business API accounts and review each provider's current data retention and training terms with you before any client file is sent. Where a matter needs extra caution, it can be left out of the index entirely. The decision and the provider terms we relied on are recorded in the runbook.

### Can AI draft engagement letters and client advice?

It can draft engagement letters from your approved template and the intake record, and a partner reviews every one before it goes out. We do not build systems that send advice to clients without a professional reviewing it first. The drafting saves typing time. The judgment stays with the person who signs.

### Does this work with Clio, iManage or NetDocuments?

Usually. Clio, iManage and NetDocuments offer APIs, and SharePoint is reachable through Microsoft Graph. What we can automate depends on the access your license and administrator allow, which we confirm in the first week. Where no API access is available, we work from scheduled exports. That is slower to refresh, but it works.

### What does AI cost for a 30-person firm?

For a firm that size we recommend a $3,000 to $5,000 readiness snapshot, then one build. A rules-based document chaser sits at the low end of our $5,000 to $40,000 process automation band. A precedent search assistant starts at $15,000. Model usage is billed at cost with no markup.

### Do our staff need training?

Yes, and it is short. Every build ends with training for the people who use it and a written runbook. Firms that want a wider rollout book a half-day workshop for up to 25 people, priced at $3,000 to $6,000, covering your acceptable use policy, handling client data and checking a model's output against its source.

### When is AI the wrong choice for a firm?

When the work is pure rules. Chasing documents against a checklist, routing inquiries by practice area and sending deadline reminders need no model, so we build them as plain automation that is cheaper to run. AI is also the wrong choice when your past matters are scattered across personal drives. Consolidating them comes first, and the audit prices that work.
