AI and automation for brokerages and property managers

Portal leads go cold while agents are at showings, and tenants email the office about every dripping faucet. We build the systems that answer leads in minutes, book showings and keep property managers out of the maintenance inbox.

Expect a reply within 1 working day, with times for the call.

In short

For brokerages and property managers, AI pays off first in speed: replying to every portal and website lead within minutes, qualifying it and booking a showing on the agent's calendar. Property managers gain most from maintenance request triage and lease data extraction. The Method Crew builds these inside Follow Up Boss, HubSpot, AppFolio or Buildium, and a licensed agent reviews listing copy before it publishes.

Where AI and automation pay off first

Each use case names the systems it connects to and the services that build it. Every service page lists its timeline and price band.

  • Instant lead response and qualification

Leads from Zillow, Realtor.com, your website and open-house sign-ins get a reply by text or email within minutes, asking about budget, timing and financing. Answers are written to Follow Up Boss or HubSpot and the lead is routed to the right agent with a short summary.

  • Showing scheduling

Buyers pick a slot from the listing agent's real availability in Google Calendar or Outlook. Access instructions go out once the showing is confirmed, and a reschedule updates the agent, the buyer and the seller's contact in one step.

  • Sign calls and after-hours calls

A voice agent answers calls about a listing, answers factual questions from the listing data, books a showing or callback and creates the lead in your CRM. It does not discuss price, offers or negotiation.

  • Listing description drafts

Drafts written from the MLS data sheet, room measurements and the agent's own notes, screened for fair housing wording and then edited and approved by the agent before publishing.

  • Maintenance request triage

Tenant requests from the AppFolio or Buildium portal, email and text are sorted by trade and urgency, matched to the unit and turned into draft work orders for a coordinator to approve and dispatch to a vendor.

  • Lease abstraction

Rent, dates, deposits, renewal options and special clauses are pulled from signed leases into your property management system, with each value linked back to the page it came from so staff can check it.

What shapes the build

The rules, risks and sign-offs we settle with you in the first 2 weeks, before any real data moves.

  • Fair housing covers every word

In the US, fair housing law applies to ads, listing copy and the messages a lead receives, whoever or whatever wrote them. Generated copy is screened for wording about protected characteristics and approved by a licensed agent. Confirm state and local rules with your broker or counsel.

  • Consent for automated texts and calls

Automated texts and calls are regulated, and in the US the FCC has confirmed that AI-generated voices count as artificial voices under the TCPA. We build consent capture and opt-out handling into every sequence and keep a record of both. Your counsel confirms the rules for your market.

  • Applicant and tenant data

Applications hold income, ID and credit details. They stay in your property management system, models see only the fields a task needs, and no model approves, ranks or rejects an applicant. People make those decisions.

  • Licensed advice stays with licensees

Assistants answer factual questions from listing and lease data. Pricing opinions, offer strategy and anything that needs a license go to an agent or property manager, with the conversation attached.

An empty room with a wooden floor, a radiator on the bare wall and a tall window with one casement open onto the building across the street.
A vacant unit between tenants. Leads for it get a reply within minutes, and showings go straight onto the agent's calendar.

Where does a brokerage see a return first?

Lead response. Export 90 days of leads from your CRM and measure the time from a lead arriving to the first human reply, by source and by hour of day. Evenings and weekends are usually the gap, because that is when agents are showing homes or off duty.

A sales and CRM automation build closes that gap. The system replies within minutes, asks 3 or 4 qualifying questions, writes the answers to the lead record and routes it by area, price band or round robin. The inbound lead qualification agent blueprint shows the flow, including when a lead goes straight to a person.

After a showing or a buyer consultation, the sales call follow-up blueprint turns the agent's voice note into a CRM update and a draft follow-up email for the agent to send.

To put a number on faster replies, route a share of leads to the old process for a few weeks and compare booked showings between the two groups. Our guide to measuring AI automation ROI explains that holdout test.

There is a case for doing less. A small team with modest lead volume can get most of this from the action plans built into Follow Up Boss or a well-set sequence in HubSpot. We will set those up and stop there if that is the better buy. The build costs $5,000 to $25,000; a CRM migration starts at $8,000, and is often the real first project when lead data is split across 2 systems.

What changes for a property management company?

Property managers carry repetitive, high-volume work that agents do not: maintenance requests, lease renewals, owner statements and tenant questions about the same 20 topics.

Maintenance triage is the place to start. Requests arrive by portal, email, text and phone, often with a photo and a vague description. A model reads the request, sorts it by trade and urgency, and drafts a work order in AppFolio or Buildium. A coordinator approves it before any vendor is dispatched (a human-in-the-loop step), because urgency calls (a gas smell, no heat in winter, water through a ceiling) follow your written rules first and the model second.

Lease abstraction comes next. Intelligent document processing reads signed leases into structured fields with a link to the source page, so renewals and rent reviews run from data you trust. Builds cost $12,000 to $40,000, with document software per-page fees billed separately.

Owner reporting is often pure automation. The weekly ops report blueprint pulls occupancy, arrears and open work orders into a short summary for each owner, with no model needed for the numbers.

If your portfolio is under a few hundred units, a well-configured property management system usually beats a custom build. We will say so in the first conversation.

What does a sample 90-day plan look like?

This plan fits a brokerage of 15 to 80 agents starting with lead response and showing scheduling.

WeeksStageWhat happens
1 to 2MapLead export and response-time analysis, interviews with 4 to 6 agents and the operations lead, a lead source inventory, and the confirmed scope and acceptance test for the build
3 to 4ProveReplies drafted for one lead source, sent only after an agent approves them, compared against last month's response times
5 to 10BuildAll lead sources connected, qualification, routing, showing scheduling, consent and opt-out handling and fair housing screening, with a demo every week
11 to 13RunLive on all sources, agent training, the runbook and the first monthly report on response times, booked showings and cost

If approved replies are not good enough to send without heavy editing by week 4, we stop, and you keep the findings.

A voice agent for sign calls makes a sensible second project, priced from $6,000 with per-minute usage passed through at cost. An automation care plan from $1,500 a month keeps the integrations working when a portal changes its lead email format.

Two sets of rules shape every real estate build, and we design for both from week 1.

Fair housing law in the US covers advertising and the statements made to buyers and renters. HUD's rules on discriminatory advertisements (opens in a new tab) are a useful reference for what that covers. AI-drafted listings and replies can drift into wording about who a home suits, which is exactly the risk. So every draft is screened against a word list your broker approves, and a licensed agent edits and approves before anything publishes. The system keeps both the generated draft and the approved version, so your broker can see what changed and who signed off.

Automated texts and calls need consent. The FCC has confirmed that the TCPA applies (opens in a new tab) to AI-generated voices, so a voice agent placing outbound calls follows the same consent rules as any prerecorded call. Our builds record consent, honor opt-outs across every channel and keep the log in your account.

Neither of these is legal advice. State and local rules add requirements, and your broker of record or counsel decides what applies to you. We build the controls they ask for and document them so they can be checked.

Questions about AI in real estate

The full FAQ covers pricing, ownership, data and timelines.

Can AI reply to Zillow and Realtor.com leads automatically?

Yes, when the lead reaches your CRM by email or through an integration your CRM already supports. The system replies within minutes, asks qualifying questions and writes the answers to the lead record. In week 1 we confirm which of your lead sources connect directly and which need their notification emails parsed.

Does this work with Follow Up Boss?

Yes. Follow Up Boss has an open API and webhooks, so we can read new leads, update fields, add notes and trigger its own action plans. Where Follow Up Boss already does the job natively, we use its features instead of building around them. The same applies to HubSpot and Salesforce.

Will AI-written listings cause fair housing problems?

They can if nobody checks them, which is why we never publish one unchecked. Drafts are screened against wording your broker approves and then edited and approved by a licensed agent. The model works from the property's facts, not from guesses about who might want to live there.

How much does a lead response system cost?

Sales and CRM automation runs from $5,000 to $25,000, and migrations start at $8,000. A voice agent for sign calls starts at $6,000, with per-minute usage passed through at cost. Enrichment credits and CRM licenses are billed to you directly, and you own every workflow we build.

Can a voice agent answer the calls from our listing signs?

Yes. Sign calls route to a voice agent that answers questions from the listing data, books a showing or a callback and creates the lead in your CRM. Callers hear that they are speaking with an automated assistant, and the listing agent gets a text summary of the call within a minute or two.

When is AI the wrong choice for a real estate team?

When your CRM already does the job. Drip campaigns, reminders and simple routing are built into Follow Up Boss and most real estate CRMs. AI is also wrong for pricing opinions, offer advice and tenant screening decisions, which belong to licensed people. We will tell you in the first call if a configuration change beats a build.
